Who looks after your data
Sam Quinn runs these workshops and decides what happens to your details. In data protection terms he is the controller. The website is built and run for him by Onyx, part of Digital Doctrine, which stores the data on Sam’s behalf and uses it only as he asks.
What we keep
- Registering interest in a workshop: your name, your email address, which workshop and when you signed up.
- “Also tell me about new workshops” (only if you tick it; it starts unticked): your name, your email address, the exact wording you agreed to and when.
- Booking a place: your name and email address, the name of anyone else you book for, what you booked, what you paid and how (card, bank transfer or cash, and whether a transfer or cash payment has arrived), and the link you came from if it said (for example a link shared on Instagram).
- Card details: none. You pay on Stripe’s own payment page, and your card number never reaches this site.
What we use it for
- To email you when a workshop you asked about has dates, before they go public. That is what you signed up for, and you can leave at any time.
- To run your booking: the confirmation, a calendar file, the link to cancel, a reminder if a bank transfer or cash payment is due, and news if a date changes. We need your details to do what you booked.
- To keep the records Sam must keep for his accounts.
No marketing beyond the emails above, and your details are never sold or passed to another coach.
Who else handles it
- Stripe takes card payments for Sam.
- Cloudflare hosts the website and the database, sends the emails, and may check that a form was sent by a person, not a bot.
- Onyx (Digital Doctrine) runs the site for Sam, as above.
Each of them handles your data only to provide that service. Some of it may be processed outside the UK, under the safeguards UK law requires.
How long we keep it
- Interest and updates lists: until you leave. Every email has an unsubscribe link, and leaving one list leaves the other alone.
- Bookings: as long as the law requires Sam to keep his accounts, usually six years.
Cookies
No tracking or advertising cookies, and no analytics. While you are paying for a booking, one cookie holds your place so that going back and booking again doesn’t take a second one. It contains no personal details and ends when the payment page expires.
Your rights
You can ask to see what we hold about you, to correct it, or to have it deleted, and you can object to how we use it. To do any of these, message Sam on Instagram at @samquinnbjj. If you’re unhappy with how we have handled your data, you can complain to the Information Commissioner’s Office.
Changes
If this page changes, the date at the top changes with it.
